PhillySEEDS, the nonprofit arm of the Philadelphia Housing Authority, asked Rivendell to create a custom, agile application to streamline and enhance the PhillySEEDS program’s application and management processes. The application features a user-friendly portal catering to applicants, administrators, reviewers/approvers, and registration personnel, complete with automated email notifications. A separate front end WordPress website login and portal provides a dashboard and search functionality, all supported by a dedicated MySQL database with full encryption. The system optimizes the PhillySeeds process by allowing users to manage, log in, review and create user workflows throughout the application process including applicant submission, and the ability for users to return and update records and refine submissions.

The benefits and outcomes include a more efficient and user-friendly application process for programs like the HCV Security Deposit Matching Grant and Homeownership Closing Cost Matching Grant. Automated eligibility checks, account creation, and document submission workflows will reduce administrative burden and improve communication with applicants. Features like mobile-friendly access, online status checks, and automated reminders further enhances the user experience. Additionally, the system provides robust archiving and reporting capabilities, ensuring data is securely stored and readily available for analysis and compliance, ultimately serving more applicants effectively. Lastly, and most importantly, the system provides a user-friendly dashboard for staff with multi-tiered access to manage, review and approve applicant status, department notes, and other key information to make their system more collaborative.
